Please note, it can take up to 24 hours for the scan option to become available after you have logged into a University printer for the first time. We have a guide to help you to do this. Once this time has passed, the ‘Scan’ icon will be available on your account.
Scanning and printing is managed by the University’s IT department.
Scanning and printing is only available to staff and students of the University of Northampton. Please note that there is no printing facility for visitors or Associate Members (including SCONUL).
If you are scanning a document, you have two options for placing the item to be scanned:
1. You can place it face down under the lid of the printer, aligning the item to the back-left corner. This is ideal for copying a page or two from a book, or something like a passport
2. You can place the document into the document feeder on the top of the printer. This is helpful if you are copying multiple pages of a document, or need to do both sides of a page. Please ensure you have removed any staples and the paper is flat with no tears before placing the document into the document feeder, otherwise it may damage the documents and jam the document feeder
3. Log in and click on ‘Scan’ in the printer menu, then click ‘Scan to Email’. There are options to scan a single page, or several pages that are then sent as a single document. This will be sent to your University email account. There are also options to set the file name and subject line of the email.
You can click on ‘Settings’ to set various scanning options, such as the file type (jpeg or PDF for example), how detailed the scan will be (DPI), and whether it scans in colour, greyscale, or black and white. These options will affect the file size, the more details in the scan the larger the file will be.
4. Click on ‘Start’ to begin the scan.
What am I allowed to scan?
You can scan anything that belongs to you, like letters and documents like your passport. There are restrictions for scanning other documents like pages and chapters in a book, or articles in a journal. This is because someone else has written the document, and so the copyright belongs to them. The library has advice on this for students and staff, so please make sure you are scanning with copyright in mind. Is there someone who can help me with scanning?
Library staff are on the 2nd floor Library Help Desk in the Learning Hub and we are happy to help you in our staffed hours. IT Services are also available to help with scanning and other print issues:

You need to collect a paper ticket from the kiosk, and wait for your number to be called. You can wait in IT's service area, behind the glass screens to the right of the Student Information Desk.
